Bill sent this to the card checkers.? Thought I would share with everyone as an FYI if?any of you?use hybrid applications..? Hopefully no one here has had a rejection occur for reasons stated.

Some of you have recently asked about LoTW applications being rejected for some reason and this information is for your personal applications as well as for your applicants:

?

When doing a hybrid application it is important that the LoTW portion not be done too far in advance of the paper application or when sending cards. After 30 days if the paper portion is not received by DXCC the LoTW application goes to what is called a stale bin. Meaning, you, or your applicant prepared the LoTW portion but after 30 days the paper portion has not yet been received.

It is strongly recommended, and, I also mention this in the LoTW application procedures posted in the DXCC FAQ, that you do the LoTW portion within only a few days of each other. This will avoid having the LoTW application being rejected and, doing it closer to the paper application will allow you or your applicant the chance to claim the most credits from a LoTW account.

While arbitrary, 30 days is sufficient time to get all portions of an application to DXCC. I am sure you can understand that we do not want applications to remain in the system, unused, forever so 30 days allows for some action to be taken within a reasonable amount of time.

Also, I found that some applicants note in their LoTW application, in Part 2 of the application process in the box noting how many paper cards will be coming as part of this application, a positive number meaning that they will be sending cards or a field checked application. Upon going stale I send a note to them asking about the remaining cards and they state that it was not really their intention to send cards. Placing a positive number in this box places the LoTW application on hold starting the 30 day period. After 30 days when nothing is received the application moves to the stale bin and is subsequently rejected. So it is important that if the intent of the application is a LoTW only application that the zero already in this box be left alone.
